    Coles Crocs Volunteer Job Descriptions


    MEET SET UP:

    Set up Home: Prepare pool and team area for meet. Set up tents, rope off pool area, get swimmer sign in boards set up, place parking signs and no parking signs, add cones to cross walk area, cover up shower heads.

    Parking Lot Marshall - Man gate and do not allow entry by anyone but setup till 6:15. After 6:15, tend Parking Lot by allowing cars in to drop off items then quickly exit between 6:15- 6:30. No cars to enter after 6:30 other then computer table guru.

    Set up Away - Pick up coaches tent and circle in boards Thursday night during practice. Deliver next AM to opponent's pool and work with host team to set up coaches tent and circle in boards.

    MEET OPERATIONS:

    Announcer - Use PA system to call swimmers to the events. Announce events, the score, our sponsorships and make general announcements. Play music.

    Announcer Assistant - Assist with announcements, score updates and info from computer table.

    Facilities and Trash - Check bathrooms prior to beginning of meet and refill paper and soap. Make sure trash cans are out and surrounding the pool area. Throughout meet check bathrooms often and refill paper and soap as needed. Check trashcans and empty as needed and add new bags to keep area clean.

    Computer Table - Assist getting heat sheets to runners and assist computer table personnel and keep computer area clean and free of people.

    Sheet Runner - Take heat sheets to scribes in each lane collect completed sheets from scribes.

    Timers - Time each heat for an assigned lane

    Head Timer - Oversees timers and provides a back up stop watch if needed.

    Scribes - Verify swimmers in correct lane and write down times for each heat - hand out heat ribbons as needed.

    Ready Bench - Using heat sheets, organize swimmers into correct heats and lanes throughout the meet.

    Swimmer Sign-in for Meet - Check in swimmers in individual and relay boards and write event numbers with sharpie on swimmers arm.

    Time Improvement Table - Sit at Time Improvement table by the pool and pass out trinkets to swimmers with time improvement tickets

    Water Runner - Fill and check water coolers stationed around pool. Distribute waters to officials, timers, scribes. Check in every 15 - 30 min.

    Pool Take Down- After the meet, collect all trash, chairs, flags, benches, signs on street, grills, cones etc to store until next meet. Trash in cans out on grill deck for Tuesday trash pick up. If needed, move chairs and prepare pool area for community swim.

    CONCESSIONS:

    Set up Friday: Prepare concession stand for Saturdays meet.

    Food Pickup: Pickup Food at designated vendors and deliver to pool prior to start of meet.

    Fruit Prep: Pick up Fruit and zip lock at pep rally and take home to cut and separate into serving bags for swim meet. Deliver to concessions by 7-7:30am.

    Griller - Check propane, setup grills and cook burgers, work with concessions and grill assistants. Clean prior to placing in closet.

    Griller Assistant - assist with the setup, place burgers in buns, wrap and foil and have ready for concessions.

    Concession Operations - work in concession stand and sell food and drinks.

    Ice Pickup - Grab cooler Friday evening and deliver 15 bags of ice. Volunteer must be willing to leave meet to pick up more ice as necessary.

    PEP RALLY

    Set up, Serve, Clean up - Arrive prior to pep rally to set up tables and get supplies. Sell pizza, sodas and candy. Clean up concession stand, pizza boxes and trash and put away tables and supplies. Prep for Saturday meet if a home meet. 

    Games Lead - Prepare games and prizes during the game, run game at pep rally, distribute prizes.

    PRACTICE

    Cone Set Up/Take Down - Get the traffic cones from inside the pool gates by the main gate. Set them up across Coles Crossing Drive on the crosswalk between the pool and Sampson Elementary. Place one near each curb and one in the middle of the street (cars need to still be able to drive through). They need to be set up and taken down each day Monday-Thursday. 

    Set up needs to be by 4:00 and take down by 7:15 pm and put the cones back at the pool. If for some reason you can't do the set up or take down one day, please find someone to cover it for you.
